Executive Assistant to the President and CEO

Reports to: President/CEO        

JOB PURPOSE: Responsible for providing high-level administrative support to the president/CEO, the 50-person volunteer board of directors, the executive director of the Minnesota Chamber Foundation, and other Chamber staff as needed. Demonstrates the ability to be a proactive problem solver with exceptional communication skills and meticulous attention to detail so that organizational goals are accomplished, and critical priorities are successfully met. Serves as a flexible and consistent member of the team, adapting to the dynamic nature of the executive landscape with professionalism.

ESSENTIAL JOB DUTIES:

Board support: 

  • Coordinate the activities of the Minnesota Chamber’s board of directors and a variety of board committees, including: 
  • Secure off-site location for Board meetings throughout the year: Arrange details associated with meeting room layout and parking; coordinate technology, refreshments, printed materials etc.; manage these logistics the day of the meeting and troubleshoot accordingly before and during the meeting. 
  • Use the established meeting agenda to arrange speakers. 
  • Prepare the meeting packet by gathering reports and collaborating with other staff on editing, deadlines and distribution. 
  • Assist staff with timely completion of meeting slides and scripts. 
  • Communicate with Board members regarding attendance to ensure quorum. 
  • Take meeting minutes or notes. 
  • Lead in organizing and assist in planning the Chamber’s Board Development Committee. 
  • Lead in organizing and assist in planning orientation programs for the Chamber’s new board members. 
  • Lead in organizing and assist in planning meetings of the Chamber’s Executive and Planning Committee, including annual retreat and periodic meetings of the Committee.  
  • Assist in planning meetings and events for the Chamber’s Advisory Board. 
  • Assist in scheduling the Chamber’s Finance Committee and Compensation Committee.  
  • Manage the annual Board budget.

President/CEO support: 

  1. Maintain the president/CEO’s complex schedule, including day-to-day and long-term management and the strategic scheduling of meetings, projects, and priorities. 
  2. Ensure the president/CEO is prepared for upcoming appointments by gathering and organizing materials necessary for each meeting and providing itineraries as directed by the president/CEO. 
  3. Serve as the first point of contact for a wide variety of high-level relationships between president/CEO and internal and external contacts; exercise sound judgement in representing the president/CEO with members and Chamber colleagues. 
  4. Balance conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines. 
  5. Organize travel logistics for the president/CEO, including transportation and accommodations, ensuring all details are accounted for and changes are clearly communicated. 
  6. Manage monthly expense account reports, travel and visit records for the president/CEO. 
  7. Create and distribute correspondence on behalf of the president/CEO. 
  8. Monitor metrics of president/CEO’s annual goals to ensure completion of appropriate items.  

Other duties: 

  1. Provide administrative and executive assistant support to the Minnesota Chamber Foundation: 
    1. Assist in supporting the fundraising outreach for the Executive Director and Chamber President and CEO. 
    2. Provide support coordinating Foundation Board and committee meetings and other activities as needed. 
    3. Provide administrative support such as report distribution, correspondence, etc. 
  2. Coordinate and manage special projects, including working collaboratively with staff to ensure projects meet deadlines. 
  3. Work as a member of the team, willingly providing back‐up support for co‐workers when appropriate and actively supporting group goals. 
  4. Abide by the Chamber’s core values of member commitment, professionalism and problem solving and make consistent best effort to help further the mission of the Chamber. 
  5. Complete other tasks and projects as assigned.

QUALIFICATIONS: 

  1. A minimum of 3-6 years of relevant work experience. 
  2. Utilize analytical skills and demonstrate broad understanding of the organization to effectively interpret and anticipate needs. 
  3. Exhibit sound judgment and the ability to make reasonable decisions in the absence of direction; work effectively without constant supervision or guidance. 
  4. Promptly respond to requests with accuracy and a courteous demeanor; provide excellent customer service. 
  5. Excellent writing skills and ability to conduct independent research. Strong editing/proofing skills (grammar, punctuation, vocabulary, and spelling).  
  6. Proficient in Microsoft Office: Outlook, Excel, Word, and PowerPoint; data entry and management. 
  7. Strong interpersonal qualities and a professional, positive attitude; adept at establishing and maintaining good rapport and working relationships within all organizational levels. Able to work in a collaborative, team environment. 
  8. Ability to multi-task consistently and effectively, balancing many projects and priorities at the same time. 
  9. Highly motivated by challenges and added responsibilities; demonstrate flexibility in the face of change.  
  10. Able to maintain confidentiality. 
  11. Experience in developing internal processes. 
  12. Interest in state legislative business issues and public policy helpful, but not required.


PHYSICAL JOB REQUIREMENTS: 

  • Ability to use the keyboard, computer, and/or mouse for up to 8 hours per day. 
  • Ability to work at least 40 hours per week, including some evenings; weekends are rare. 
  • Ability to use the phone and/or virtual meeting platform for approximately 1-3 hours per day. 
  • Ability to lift up to 25 pounds.

Program Manager: Waste Wise

Energy Smart and Waste Wise are programs of the Minnesota Waste Wise Foundation, a 501(c)3 non-profit and program of the Minnesota Chamber of Commerce. They inform and implement environmentally sustainable practices in business by providing technical assistance and access to resources. The Minnesota Chamber of Commerce is a statewide advocacy or organization representing 2,300 businesses and over 500,000 employees across Minnesota. We advocate on a broad array of business issues that affect businesses bottom line. Advocacy includes legislative representation at the state capital, as well as individual business assistance through our programs. Events and sponsorship programming support our advocacy, membership representation, and service.

SUMMARY:
The Program Manager is responsible for conducting new business outreach, on-site energy consultations, energy project technical assistance, maintaining the program database, being accountable for program contracts, assisting in the RFP process, managing direct reports as assigned and supporting special projects. This position is also responsible for providing targeted program services to members of the Minnesota Chamber of Commerce.

ESSENTIAL JOB DUTIES:

  1. Lead Waste Wise’s daily operations:
    1. Foster a collaborative, positive, and inclusive working environment
    2. Serve as the subject matter expert on the waste reduction industry, keeping up on trends and changes
    3. Schedule and lead regular internal team meetings
    4. Host 1 on 1 meetings with direct reports to ensure contract and career development goals are being met
    5. Perform mid-year and annual reviews, approval of PTO, and address performance or behavior as needed
    6. Work with Program Coordinators to set contract goals and continuously improve program implementation
    7. Direct Minnesota Chamber collaboration opportunities in partnership with Energy Smart
    8. Review invoicing and goals assembled by contract leaders before submitting to accounting
  2. Program growth and maintenance:
    1. Attend networking and trade events as needed. This may include presentations
    2. Collaborate with Program Coordinators and Director to identify and ensure new programming opportunities align with the mission of the Minnesota Chamber and Minnesota Waste Wise Foundation
    3. Maintain a positive relationship with program funders and increase market share by proposing new services
    4. Informs the new team member onboarding process by instilling best practices and technical expertise
    5. Work with internal and external parties to ensure the database is properly maintained and efficient
  3. Provide technical assistance to businesses:
    1. Conduct on-site meetings with high-priority clients or MCC members to assess for sustainability improvements
    2. Delegate follow-up and projects to Coordinators for ongoing technical assistance
  4. Inform the strategic direction of sustainability programming:
    1. In partnership with the Director, Coordinators, Energy Smart, stakeholders, and MCC members, identify new ways to provide leadership and programming in business sustainability 
    2. Leverage data to position Waste Wise as a leader in business waste management technical assistance programming
    3. Work with communications to improve impact of outreach and marketing efforts

QUALIFICATIONS:

  • Five years’ experience in commercial sustainability program implementation and/or management.
  • Associate, Technical, or Bachelor’s degree in related field preferred
  • Comprehensive knowledge of waste reduction and environmental sustainability topics
  • Strong interpersonal skills and the ability to create and maintain positive working relationships with employees, owners of small to large businesses, waste hauler representatives, and others
  • Strong oral and written communication abilities, including the ability to connect with diverse audiences
  • Exceptionally strong data management, research, and organizational skills
  • Able to manage, prioritize, and manage multiple tasks simultaneously
  • Able to think outside the box and create opportunities from challenges
    Vehicle required from travel, will be reimbursed for mileage
     

RELEVANT INFORMATION: This is a full-time exempt position with comprehensive benefits and involves travel within Minnesota. The position is hybrid and will be performed both remotely and onsite at various locations within Minnesota with the main office located 380 St. Peter Street, Suite 1050, Saint Paul, MN 55102.  Work hours will typically be Monday through Friday, 8 a.m. – 5:00 p.m. with occasional evening and weekend hours.

Economic Development Specialist

The Economic Development Specialist provides a variety of services to programs directly related to Grow Minnesota!, the Chamber’s private sector led business retention and assistance program in collaboration with nearly 90+ local chambers and economic development organizations in Minnesota. ESSENTIAL JOB DUTIES:

  1. Provide support to Economic Development Director and Manager on coordinating one-on-one business retention visits statewide and assisting with any necessary one-on-one business assistance and follow-up.
  2. Provide lead technical management and maintenance of the Grow Minnesota! Partnership business retention database. Enter data from business visits into database and provide primary technical support. Identify process improvements and technology enhancements for recommended implementation.
  3. Assist Grow Minnesota! partners by providing them with BRE materials, such as forms, online tools, records of past visits, data analytics and responding to requests for technical assistance.
  4. Manage MN Supplier Match, a supply chain database created to increase business-to-business activity in Minnesota.
  5. Manage communications strategies for the Grow Minnesota! website, social media, monthly blog, and general marketing and promotion of program.
  6. Primary liaison for Grow Minnesota! events and meetings, including webinars stemming from special projects and economic data reports.
  7. Assist in the development of stakeholder presentations.
  8. Assist with miscellaneous projects related to both Grow Minnesota! and the Minnesota Chamber.
  9. Other work-related duties, as assigned.

QUALIFICATIONS:

  • Bachelor’s degree in economics, business, data science or data analytics, operations management, public policy/urban planning, non-profit management, marketing and communications, public administration, real estate, or other related field of economic development; or two years or more of direct experience working within an economic development program; or equivalent, combined relevant experience.
  • Knowledge of and interest in the development and growth of Minnesota’s economy: Course work or experience that shows knowledge of our state’s economic history and the development of its economy.
  • Demonstrated interest, knowledge, or direct work with state’s business community and individual businesses.
  • Previous experience in project management activities which involve outcome-based results.
  • Demonstrated ability to communicate effectively, both orally and in writing.
  • Excellent analytical and problem-solving skills. Ability to convert analysis into a clear and convincing presentation.
  • Ability to work under pressure with short timelines and competing deadlines.
  • Proficiency in working with large and growing databases of Minnesota companies utilizing Hubspot or other CRM databases, and Microsoft platforms.
  • Demonstrated ability to be an effective leader within a team environment.
  • Demonstrated interpersonal skills and the ability to build effective relationships throughout all levels of the organization.
  • Strong attention to detail, organization and adherence to timelines, along with ability to multi-task.
